AI & Privacy

GradeVine is built for teachers and other adult professionals, on your phone or on the web. Students never use GradeVine or have accounts. It holds work that students produced, and we handle it with that in mind. Here is exactly what happens with AI and your data, in plain language.

The short version

  • Your students' work is not used to train AI models.
  • GradeVine uses Google's paid Gemini service, which has stricter data terms than the free tier.
  • Smart evaluation, the AI that suggests a score, is optional, and you make the final call on every grade.
  • Your records live in your own private GradeVine account, encrypted, so they're available on the web dashboard and your devices. Other teachers can't see them.

What AI does

What does AI do in GradeVine?

When you scan or import pages, AI reads the handwriting, turns it into text, organizes it by question, and matches each page to the right student. If you turn on Smart evaluation, it also suggests whether each answer is correct, partial, or incorrect, with a rationale. You review everything and make the final call.

What am I agreeing to by default, and what is a separate choice?

Scanning or importing pages sends them to AI for transcription and student matching. That is how the core feature works. Smart evaluation is a separate, opt-in Premium option, and it costs a bit more in credits. If you never turn it on, no score suggestions are generated.

Does the web dashboard use AI?

Today, AI processing happens when pages are scanned or imported in the iPhone app. The web dashboard is where you review, grade, and export work from a browser, and it doesn't send anything to AI.

Does AI decide my students' grades?

No. AI suggestions are a starting point. You see them, change them, or ignore them. Nothing becomes a grade until you say so.

What gets sent

What exactly is sent to AI?

The image of the scanned page (which may include a student's handwritten name), the assignment's questions and keywords, and your class roster names, which are used to match each page to the right student. Nothing else from your account is sent.

Is my students' work used to train AI?

No. GradeVine uses Google's paid Gemini service. Under Google's paid terms, prompts and responses are not used to improve Google's products. Free-tier services work differently, which is one reason GradeVine uses the paid one. You can read Google's terms in the Gemini API Additional Terms of Service.

Does Google keep a copy of what's sent to AI?

Google may keep AI requests for a limited period, solely to detect and prevent abuse. Google's terms also say data may be processed or cached transiently in any country where Google operates. While a batch of pages is processing, Google also keeps a temporary copy of the assignment's questions and your class roster for about 15 minutes so pages process faster, and it then expires. This is separate from where your records are stored, described below.

Can someone at Google read my students' work?

Google's paid terms do not include human review of your data to improve its products. The terms limit retention to abuse prevention, as described above.

Where your data lives

Where are my records stored?

In your private GradeVine account, hosted on Google's Firebase. This includes your courses, students, assignments, grades, and scan images, and it's what lets the web dashboard and your devices show the same records. Firebase encrypts data in transit and at rest, and access rules limit each account's records to that signed-in account. The iPhone app also keeps a copy on your device.

What's the difference between what AI receives and what's stored?

Your records are stored in your account until you delete them. AI receives only the pages and details described above, at the moment you scan or import, and under Google's paid terms it isn't used for training. These are two separate things.

Do you sell my data?

No. We do not sell or share personal information. The full details are in our Privacy Policy.

How do I delete my data?

Delete records inside the app at any time. To remove everything, use Reset App in the iPhone app's Settings, which removes your records and scan images from your device and from GradeVine's cloud storage. You can also email us and we will help.

Schools & compliance

Is GradeVine FERPA or COPPA compliant?

GradeVine is designed for educators, but whether it is appropriate for your classroom is a decision for you and your district. Check your district's policy before using any AI tool with student work. We do not claim certification or compliance on your behalf, and we are happy to answer questions your district may have.

Are students using GradeVine?

No. GradeVine is for teachers, on the app and on the web. Students do not have accounts and never see it. It simply holds work that students produced.
